Hopefully in plain english but please let us know if there's anything we're not clear about
General Manage Fit usage
- Failed Payments - After 3 failed payments we will delete your account along with all data.
- Backups - We take regular backups but recovery is largely at the macro level. We will not be able to recover individual data if deleted.
- Disk Space / Images - You will require some disk space for storing images for things like classes and exercises. You are given 100mb for this purpose and will be warned if you go over this. If you remain over your quota then your service will be suspended.
- Images - Do not store any illegal items. Any account that does so will be immediately deleted
- GDPR and Data - While we encrypt all customer/athlete data, we ask that you only collect the bare minimum of information. As we default to collecting the bare minimum but give you the tools (custom fields) to get more then we only act as the Data Processor and you are the Data Controller with all the legal ramifications that entails. Basically, keep data to a minimum to reduce everyone's risk of a GDPR violation. You don't need to know an Athlete's blood type and if you really do, ask them personally...
- Cookies - We only use essential cookies therefore do not need to declare anything. If you add analytics to your system then you will need to provide cookie notifications.
- Emails - We will only market to those who request that marketing material. You have the same options for data collection on your system and if you violate the marketing segments we reserve the right to cancel your account. In other words, don't market to people who don't want it.
Your Data and System
- Emails - You are given 10k emails per month for free from the system. If your system goes over this, it will stop sending. You can increase your quota size through Your Account
- Record Retention - We automatically purge data after a certain amount of time
- Cancelled Athletes - Athletes who have cancelled their membership with you are kept for 1 year in a "deleted" state so we can still recover report details such as class attendance records. After more than 1 year these details are fully purged to comply with GDPR laws
- Class registrants and attendance - 1 year after registration date
- Training Records - automatically after an Athlete is deleted or 3 months after any associated records have been deleted
- Exercise Sessions - if disassociated from Athletes or Groups, these are purged within 1 week
- Payment Records - automatically discarded after processed. If you need them, they are available directly through the Payment Processor
- Pages and Articles - deleted 3 months after last payment
- Other things - general housekeeping occurs automatically and this can change without warning but shouldn't impact your system
